Studio Rules, Policies & Terms of Use

By booking a session, purchasing a membership, or entering The Backdrop (“Studio”), you (“Client”) agree to the following terms and conditions.

1. Bookings, Cancellations & Refunds

All bookings are non-refundable.

  • Cancellations made more than 24 hours prior to the scheduled booking time will receive studio credit only.

  • Cancellations made within 24 hours of the booking time are not eligible for credit or refund.

  • If The Backdrop cancels a booking for operational reasons, Client will receive a full refund or studio credit, at The Backdrop’s discretion.

2. Session Time & Cleanup

All booking times include setup, shooting, and cleanup.

  • Client must return all sets, furniture, and props to their original condition before the booking ends.

  • Failure to clean or vacate on time may result in additional charges.

3. Authorized Use of Studio (Client-Only Use)

Bookings are valid only for the individual or business named in the booking form.

  • Studio time may not be shared, transferred, sublicensed, or resold.

  • Hosting workshops, or charging third parties to use the studio without prior written approval is prohibited.

  • Unauthorized use may result in immediate termination of the session without refund and loss of future booking privileges.

4. Studio Property & Damages

Client agrees to exercise reasonable care while using the studio.

  • Any damage to studio property must be reported immediately via text to phone number 572-239-9923.

  • Client is financially responsible for the repair or replacement of damaged or missing items.

  • All studio property must remain on the premises unless explicitly approved in writing.

5. Damage & Replacement Fee Schedule

The following are estimated replacement and repair costs. Actual charges may vary based on vendor pricing, labor, and downtime.

Furniture

  • Chairs / stools: $150 – $500

  • Benches: $300 – $800

  • Sofas / lounge seating: $800 – $2,500

  • Tables: $200 – $1,200

Props & Decor

  • Small decor items: $25 – $150

  • Lamps: $150 – $600

  • Rugs: $200 – $1,000

  • Mirrors: $250 – $1,500

Set Elements & Backdrops

  • Painted walls / cyc repaint: $150 – $600

  • Wallpaper / specialty finishes: $300 – $2,000

  • Modular walls / flats: $500 – $3,500

  • Backdrop hardware: $100 – $750

Flooring & Structural Surfaces

  • Scuffed or stained floors: $150 – $1,000

  • Broken tiles or panels: $250 – $2,500

  • Drilling or wall penetration: $300 – $3,000

Cleaning & Restoration

  • Excessive mess, glitter, or confetti: $100 – $400

  • Paint, makeup, or liquid stains: $150 – $750

  • Biohazard or bodily fluid cleanup: $250 – $1,500

Missing or Removed Items

  • Small missing items: $50 – $200

  • Large or custom items: Replacement cost

  • Unauthorized removal: Replacement cost + handling fee

Labor & Downtime

  • Labor billed at $75 per hour

  • Lost studio time may be billed at the standard hourly rate

6. Payment Authorization & Card on File

By booking a session or purchasing a membership, Client authorizes The Backdrop to securely store a valid payment method on file.

Client expressly authorizes The Backdrop to charge the card on file for:

  • Damage to studio property

  • Missing or stolen items

  • Excessive cleaning or restoration

  • Overtime usage

  • Unpaid balances related to studio use

Charges may reflect repair, replacement, labor, and downtime costs.

Whenever reasonably possible, The Backdrop will provide documentation supporting charges. Client acknowledges that advance notice is not required prior to charging the card on file.

Disputed charges must be submitted in writing within 7 calendar days of the charge date. Failure to notify constitutes acceptance of the charge.

If the card on file is declined, Client agrees to remit payment within 5 business days. Failure to do so may result in suspension of booking privileges or collection efforts.

7. Membership Terms

  • Memberships may be cancelled at any time.

  • Membership fees are non-refundable.

  • Memberships auto-draft on the 1st of each month.

  • Included studio hours do not roll over and expire monthly.

8. Boudoir & Sensitive Content Policy

Boudoir and artistic nude photography are permitted provided that:

  • All participants are 18 years of age or older

  • Content is lawful, consensual, and professional

  • No illegal, explicit, or non-consensual content is created

  • Studio windows and entrances are not visible to the public during such sessions

The Backdrop reserves the right to terminate any session that violates this policy without refund.

9. Assumption of Risk & Liability Waiver

Client voluntarily assumes all risks associated with use of the studio, including injury, loss, or damage to personal property.

The Backdrop is not responsible for lost, stolen, or damaged personal equipment or belongings.

10. Indemnification

Client agrees to indemnify and hold harmless The Backdrop, its owners, and affiliates from any claims, damages, or expenses arising from Client’s use of the studio.

11. Security & Monitoring

The studio may be monitored by video and audio recording systems.

By entering the premises, Client consents to such recording for safety and operational purposes.

12. Content, Attribution & Studio Credit

Example photos of studio sets may not be reused without permission.

When sharing content created at The Backdrop, Client agrees to credit:

  • @thebackdropokc

  • Location tag: The Backdrop

13. Prohibited Activities

Illegal activity, unsafe behavior, or misuse of the studio is prohibited and may result in immediate termination of the session without refund.

14. Force Majeure

The Backdrop is not liable for failure to perform due to events beyond its reasonable control, including weather, power outages, or emergencies.

15. Right to Refuse Service

The Backdrop reserves the right to refuse service or terminate any session at its discretion.

16. Governing Law

These terms are governed by the laws of the State of Oklahoma.
